This policy explains how E-Toimisto Oy processes personal data received through the website.

What data we process

Consultation request and contact. When you send the form, we process the information you provide: name, email address, phone number (optional), company or Business ID (Y-tunnus) (optional), the service you choose and the content of your message.

Booking. When you book an appointment, we also process the consultation topic, meeting type and time you choose. The confirmation and other booking-related messages are sent to the email address you provide.

Recruitment. When you submit an application, we process the information you provide: first name and surname, email, phone number (optional), town (optional), the role you are applying for, your preferred way of working and a description of your skills.

Purpose and legal basis of processing

The data is used to respond to your enquiry, arrange the meeting you have booked, prepare a quote, manage a possible client relationship and process your application. The legal basis for processing is our legitimate interest in responding to enquiries, the preparation of a contract and, for job applications, your consent.

Where the data comes from

We receive the data from you when you send a form, book an appointment or contact us. Providing data is voluntary, but without contact details we cannot reply to you.

Data retention

Enquiries and bookings are kept for no more than 24 months after the last contact, unless they lead to a customer relationship. Job applications are deleted no later than 12 months after the recruitment ends, unless agreed otherwise with you. Backups are deleted automatically within 14 days.

Cookies

The website uses only cookies that are strictly necessary for it to work, which do not require consent. No tracking, analytics or marketing cookies are used.

• kieli – remembers the language you chose. Kept for 12 months.
• sivusto_admin – admin login, for staff only. Kept for no more than 7 days.

Technical logs

The server records technical log data (IP address, time, requested page and browser details) for security and troubleshooting. Logs are deleted automatically within about 14 days.

Map

The map on the Contact page is loaded from OpenStreetMap servers. Showing the map sends your IP address to the OpenStreetMap Foundation (United Kingdom), for which the European Commission has issued an adequacy decision.

Processors and disclosure

We do not sell or disclose data to third parties for marketing. We use the following service providers, who process data only on our behalf: server Contabo GmbH (Germany) and email Domainhotelli (Finland). Data is not transferred outside the EU or EEA, except for the map mentioned above.

Security

The connection to the website is encrypted (https). Only employees who need the data for their work can access it, with their own personal credentials. We do not make automated decisions or use profiling.

Your rights

You have the right to access your data, request its rectification or erasure, withdraw your consent and object to processing. You may also lodge a complaint with the Data Protection Ombudsman (tietosuoja.fi). Please send any requests to the email address above. You also have the right to request restriction of processing and to receive the data you provided in a machine-readable format. We respond to requests within one month.

Client materials

This notice applies to the website. The processing of accounting and payroll clients' materials is agreed separately in the service agreement.
